Stockroom OS — Privacy Policy

This Privacy Policy explains what data the Stockroom OS application ("Stockroom OS," "the App") accesses, how it is used and stored, and the choices available to the merchant that installs it. Stockroom OS is a business inventory-operations tool for merchants who use the Clover point-of-sale platform. It is used by merchant staff, not by the merchant's customers, and it does not collect data from the general public.
1. Who this policy covers
This policy applies to the merchant business that installs Stockroom OS ("you," "the merchant") and to the Clover account data the merchant authorizes the App to access. Stockroom OS is a standalone application that runs on a computer the merchant controls.
2. Data the App accesses through Clover
When the merchant authorizes Stockroom OS through Clover's standard OAuth consent screen, the App accesses the following categories of the merchant's own Clover data, each tied to a feature:

The merchant sees and approves these scopes on Clover's consent screen before any access occurs.
3. Data the App does NOT access
- Payment card data. Stockroom OS never requests, receives, processes, or stores cardholder data, encrypted or otherwise. All payments are completed on the merchant's existing Clover terminal; the App only creates open orders for the merchant to ring up.
- Customer personal data. Stockroom OS does not request Clover Customers data in this version.
- Employee data. Stockroom OS does not request the Clover employee directory. In-app actions are attributed to a local PIN, not a Clover employee record.
- The App requests only Inventory (read/write), Orders (read/write), and Merchant information (read). It does not request Payments, Customers, Employees (read or write), Merchant-configuration (write), or Webhooks.
4. Where data is stored
Stockroom OS is a local-first application. The merchant's Clover data that the App caches, along with all App settings and the local audit log, is stored only on the merchant's own computer in a local database. No merchant data is transmitted to, or stored on, any server owned or operated by Eth3r Systems LLC.
OAuth access and refresh tokens are encrypted at rest using AES-256-GCM. The encryption key is generated on first run and held in the operating system's secure key store (GNOME Keyring / KWallet on Linux; Windows Credential Manager on Windows). That key never leaves the merchant's machine.
5. How data is shared
Eth3r Systems does not sell, rent, or share merchant data with any third party. Stockroom OS communicates only with the Clover API (to read and write the merchant's own Clover data, over an encrypted connection). It does not send merchant data to any other destination.
6. Data retention and deletion
- Cached Clover data and the local audit log remain on the merchant's machine for as long as the App is installed. By default, local movement history older than 90 days is purged.
- When the merchant uninstalls Stockroom OS from the Clover dashboard, the App detects the revoked authorization on its next call and stops syncing. The merchant may delete all local Stockroom OS data at any time by removing the local database or uninstalling the App from their computer.
- Because no merchant data is stored on Eth3r Systems servers, there is no server-side copy for Eth3r Systems to retain or delete.
7. Security
The App stores data locally, encrypts OAuth tokens at rest, transmits to Clover only over encrypted connections, and limits its Clover access to the scopes listed in Section 2. The merchant is responsible for the physical and account security of the computer on which the App is installed.
8. Children's privacy
Stockroom OS is a business tool intended for use by the merchant's staff. It is not directed to children and does not knowingly collect data from anyone under 16.
9. Changes to this policy
We may update this policy to reflect changes to the App. Material changes will be noted by updating the effective date above. Continued use of the App after an update constitutes acceptance of the revised policy.
